These terms apply when you purchase a subscription to The Loop from Be Empowered Ltd, trading as SkillBase First Aid.

Please read them before subscribing. They explain what is included, how annual payments and replacements work, how to make changes, and how to cancel.

In these terms, “SkillBase”, “we”, “us” and “our” mean Be Empowered Ltd trading as SkillBase First Aid.

“You” and “your” mean the person, business or organisation purchasing The Loop subscription.

2. What is The Loop?

The Loop is an annual subscription for workplace first-aid kits.

Our Safety Station Builder asks questions about your workplace and recommends a combination of first-aid kits, which we call Heroes.

The Heroes currently available through the builder are:

  • Colossus workplace first-aid Hero
  • Captain workplace first-aid Hero
  • Sidekick workplace first-aid Hero
  • Scout personal first-aid Hero

The products supplied through The Loop contain supplies conforming to BS 8599-1:2019+A1:2026.

The recommendation produced by the builder is based on the information you provide. It does not replace your organisation’s own first-aid needs assessment.

You remain responsible for considering any specific workplace risks, working patterns, unusual hazards, remote locations or other factors that may affect your first-aid provision.

3. What your subscription includes

Your first delivery will contain the exact Heroes and quantities selected when you complete your Safety Station setup and checkout.

Your annual subscription price includes:

  • the Heroes listed in your order;
  • delivery to the agreed UK delivery address;
  • VAT;
  • annual replacement of the Heroes currently recorded on your subscription;
  • a prepaid returns label with each annual replacement delivery.

Your order confirmation will show:

  • the Heroes included;
  • the quantity of each Hero;
  • your annual subscription price;
  • any confirmed SkillBase member discount;
  • your delivery details;
  • your site name or reference, where provided.

4. Annual replacement and completing The Loop

Your subscription renews once each year.

After each successful annual card payment, we will send the same Hero products in the quantities recorded on your subscription at that time.

Your annual replacement delivery will include a prepaid returns label. You can use this to return your previous Heroes to SkillBase.

Returning your previous Heroes helps complete The Loop and may qualify you for credit towards your following annual renewal.

Your replacement Heroes will not be withheld simply because your previous Heroes have not yet been returned. Once your annual renewal payment has succeeded, your paid replacement order will proceed through our normal fulfilment process.

If you do not return your previous Heroes:

  • your paid replacement order will still be fulfilled;
  • you will not be charged a non-return penalty under these terms;
  • you will not qualify for a return credit for those Heroes.

5. Return credit

Where eligible Heroes are returned using the supplied returns process, we may apply a return credit towards your next annual renewal.

The amount and eligibility rules for the return credit will be those communicated to you before the relevant renewal.

A return credit is not confirmed until:

  • we have received the returned Heroes;
  • we have matched them to your subscription;
  • we have checked that the return meets the applicable credit conditions;
  • we have confirmed the credit on your subscription, account or renewal notice.

A return credit:

  • applies only to the subscription or renewal for which it is approved;
  • cannot be exchanged for cash;
  • cannot normally be transferred to another customer;
  • cannot be applied more than once;
  • may not be applied if the returned Heroes cannot be identified or matched to your subscription.

We will show any approved return credit on the relevant renewal information, subscription record or renewal order.

6. Used, missing or damaged supplies during the year

The Loop provides your initial Heroes and their scheduled annual replacements.

Unless we expressly confirm otherwise, replacement of items that are used, lost, damaged or removed between annual deliveries is not automatically included in the subscription.

You are responsible for:

  • regularly checking your first-aid provision;
  • replacing used or missing items when required;
  • ensuring supplies remain available and readily accessible;
  • telling us if your requirements change.

Additional supplies may be purchased separately from SkillBase.

7. Subscription price

The price displayed at checkout is the amount charged for one subscription year.

All displayed Loop subscription prices include:

  • VAT;
  • standard delivery to the agreed UK delivery address.

We may also show an equivalent monthly figure to help you understand the annual cost. This is for comparison only.

You are not billed monthly. Payment is charged once per year.

Any delivery outside our standard delivery area, or any delivery requiring a service not included in the displayed price, will be discussed and agreed with you before an additional charge is made.

8. SkillBase member prices

Some active SkillBase members qualify for a reduced subscription price.

The current member rates are:

  • 20% reduction for an active member of the qualifying SkillBase membership plan;
  • 15% reduction for other active SkillBase members;
  • standard pricing for customers without an eligible active membership.

Member eligibility must be securely confirmed through the customer’s SkillBase account.

A name, email address, shared link or promotional URL does not by itself prove entitlement to a member price.

The member price confirmed when the subscription is created will form the recurring subscription price unless:

  • you ask us to change the products or quantities;
  • we agree a different price with you;
  • we give you valid notice of a pricing change in accordance with these terms and applicable law.

Member pricing cannot be combined with another discount unless we expressly confirm otherwise.

9. Payment

Payment is collected annually by debit or credit card through our secure payment provider, Stripe.

When you subscribe, you authorise SkillBase and Stripe to:

  • collect the initial annual subscription payment;
  • securely save your chosen payment method for future renewals;
  • charge that saved payment method once each year until the subscription is cancelled;
  • collect any other amount that you have separately and expressly agreed with us.

Your first order will not enter fulfilment until the initial payment has been successfully confirmed.

We do not receive or store your complete card details. Your card information is processed and stored securely by Stripe.

10. Annual renewal

Your subscription renews automatically once each year unless it is cancelled before the next annual payment is taken.

The annual renewal payment will be charged to the saved payment method connected to your subscription.

Before renewal, we will send you a reminder using the contact details held on your account or subscription.

The reminder will include or explain:

  • that your subscription is due to renew;
  • the expected renewal date;
  • the Heroes and quantities currently included;
  • the annual amount due;
  • any confirmed return credit;
  • how to request a change;
  • how to update your payment method;
  • how to cancel.

You are responsible for keeping your contact and payment information up to date.

Where consumer subscription rules apply, we will provide the renewal information, reminders, cancellation rights and cooling-off rights required by law. Current UK legislation provides for initial and renewal cooling-off periods for covered consumer subscription contracts, although the detailed application depends on the regulations in force at the relevant time.

11. Changing your subscription

You can ask us to change the type or quantity of Heroes included in future renewals.

Please contact us before your next annual payment is taken.

Unless we agree otherwise:

  • changes apply to the next annual renewal and replacement delivery;
  • changes do not alter historical orders;
  • changes do not create an immediate mid-year refund or payment;
  • the annual recurring price will be recalculated using the products, quantities and pricing agreed for the next renewal.

We will confirm the revised products, quantities and annual price.

If you urgently need additional Heroes or supplies during the current subscription year, these may need to be purchased separately.

12. Delivery details

You must provide complete and accurate delivery information.

Please tell us promptly if the delivery address or site contact changes.

A change made after an order has entered fulfilment may not affect that delivery.

We are not responsible for delays caused by:

  • an incorrect or incomplete address supplied by you;
  • nobody being available to receive the delivery where receipt is required;
  • circumstances outside our reasonable control.

Where a delivery is returned to us because the information supplied was incorrect or delivery could not be completed, we may charge a reasonable redelivery cost. We will tell you before taking any additional payment.

13. Cancelling future renewals

You can cancel your next annual renewal before the annual payment is taken.

You can cancel by:

  • using any cancellation option made available in your online account;
  • emailing [email protected];
  • calling 0330 335 1234;
  • contacting us through our website.

Please provide enough information for us to identify your subscription.

Cancellation stops future annual card payments and replacement deliveries.

It does not normally cancel or refund:

  • a subscription year that has already been paid for and supplied;
  • a replacement delivery that has already entered fulfilment;
  • products that have already been dispatched.

Where you contact us close to the renewal date, we will check whether payment or fulfilment has already begun.

We will confirm when your cancellation has been processed.

Any statutory cancellation or cooling-off rights that apply to you remain unaffected.

Terms and cancellation arrangements used with consumers must be fair, transparent and clearly explained.

14. Cooling-off and consumer rights

The Loop is primarily designed for businesses and organisations purchasing workplace first-aid provision.

Some purchasers may nevertheless qualify as consumers under UK law.

Where you are acting as a consumer and purchase online, you may have a right to cancel without giving a reason.

For goods bought online, consumers will usually have 14 days from delivery to tell the seller they wish to cancel, followed by a further 14 days to return the goods. There are exceptions, and the precise rights will depend on the circumstances of the purchase.

Where a statutory cooling-off right applies:

  • we will provide the information required by law;
  • you may cancel within the applicable period;
  • we will explain how products should be returned;
  • any refund will be handled in accordance with applicable law;
  • we will only make deductions permitted by law.

Where a renewal cooling-off right applies under legislation in force at the relevant time, we will honour that right.

Nothing in these terms limits or removes rights that cannot legally be excluded.

15. Cancelling after renewal

Where you request cancellation after the annual card payment has been charged, contact us as soon as possible.

If fulfilment has not yet begun, we will consider whether the renewal can be cancelled and refunded.

If the payment has succeeded and the replacement Heroes have already entered fulfilment or been dispatched, cancellation will normally take effect for the following annual renewal.

This does not affect any cooling-off, refund or cancellation rights that apply to you by law.

16. Failed payments

If an initial or renewal card payment fails:

  • the relevant order will not be fulfilled;
  • the subscription may be placed on hold;
  • we or our payment provider may contact you;
  • another payment attempt may be made where permitted;
  • you may be asked to update your payment method.

We will not treat an unpaid renewal as a paid order.

If payment remains unsuccessful, we may suspend or cancel the subscription after giving reasonable notice.

You remain responsible for any amount properly due before cancellation.

17. Product availability and changes

We will make reasonable efforts to supply the Heroes shown on your subscription.

Where a subscribed product becomes unavailable, discontinued or materially changed, we may contact you to offer:

  • a suitable replacement;
  • a revised subscription;
  • a delay;
  • cancellation and an appropriate refund where relevant.

We will not substitute a materially different product without informing you.

We may make minor changes that do not materially reduce the product’s purpose, quality or compliance.

18. Your responsibilities

You are responsible for:

  • providing accurate information to the Safety Station Builder;
  • completing and maintaining an appropriate first-aid needs assessment;
  • deciding whether additional or specialist provision is needed;
  • checking the Heroes and their contents;
  • replacing used, missing, damaged or expired supplies where necessary;
  • keeping first-aid provision readily accessible;
  • keeping your contact, payment and delivery information current;
  • contacting us when your team, risks, locations or requirements change.

The builder’s recommendation is guidance based on the answers provided. It is not a substitute for competent professional assessment where your workplace has specific or complex risks.

19. Faulty, damaged or incorrect deliveries

Please inspect deliveries promptly.

Contact us as soon as reasonably possible if:

  • an item is missing;
  • the wrong product has been sent;
  • a product arrives damaged;
  • you believe a product is faulty.

We may ask for photographs or other reasonable information to help us investigate.

Where we are responsible, we will arrange an appropriate replacement, repair, refund or other remedy.

Nothing in these terms affects your statutory rights in relation to faulty, damaged or misdescribed goods.

20. Returns other than annual Loop returns

The prepaid returns label included with an annual replacement is intended for returning previous Heroes as part of The Loop.

It must not be used to return unrelated products without our agreement.

Other returns, cancellations and refunds will be handled under:

  • these terms;
  • our published shipping, returns and refunds policy;
  • any legal rights that apply.

Where a consumer has a statutory right to cancel an online order, standard delivery charges and return arrangements will be handled in accordance with the applicable distance-selling rules.

21. Refunds

Where a refund is due, it will normally be made to the original payment method.

The time taken for the refunded amount to appear may depend on your bank or payment provider.

We do not provide automatic partial refunds simply because:

  • you no longer require some of the subscribed Heroes during a paid annual period;
  • your employee numbers reduce;
  • you decide not to use a product;
  • previous Heroes are not returned.

This does not affect refunds or remedies required by law or expressly agreed by SkillBase.

22. Our liability

Nothing in these terms excludes or limits liability where it would be unlawful to do so, including liability for:

  • death or personal injury caused by negligence;
  • fraud or fraudulent misrepresentation;
  • defective products where liability cannot legally be excluded;
  • breach of rights that cannot legally be limited.

Subject to the above, where you are purchasing The Loop wholly for business purposes:

  • we are not responsible for indirect or consequential losses;
  • we are not responsible for loss of profit, revenue, business, anticipated savings or goodwill;
  • our total liability arising from the subscription will not exceed the total amount paid by you for The Loop during the 12 months preceding the event giving rise to the claim.

We are not responsible for a failure to meet your wider first-aid obligations where that failure results from:

  • inaccurate or incomplete information supplied by you;
  • failure to carry out an appropriate first-aid needs assessment;
  • failure to check or maintain supplies;
  • failure to replace used or missing items;
  • failure to tell us that your circumstances have changed.

These limitations do not apply where they would be unfair or unlawful.

23. Events outside our reasonable control

We are not responsible for delay or failure caused by events outside our reasonable control.

These may include:

  • severe weather;
  • transport disruption;
  • supplier failure;
  • industrial action;
  • system or telecommunications failure;
  • fire, flood or other emergency;
  • changes in law or regulation.

We will take reasonable steps to reduce the effect of the disruption and keep you informed.

24. Privacy

We process personal information in accordance with our Privacy Policy:

We may use your information to:

  • administer your subscription;
  • process payments;
  • arrange delivery;
  • contact you about your setup;
  • manage renewals and returns;
  • prevent fraud;
  • meet legal and accounting requirements.

We may share information needed to deliver the service with payment providers, delivery partners and other service providers acting on our behalf.

SkillBase’s current Privacy Policy identifies Be Empowered Ltd trading as SkillBase First Aid as the data-handling business and explains its handling of customer, account and payment-related information.

25. Changes to these terms

We may update these terms where reasonably necessary, including to reflect:

  • changes to The Loop;
  • changes in law;
  • changes in payment or delivery arrangements;
  • security requirements;
  • changes that benefit customers or improve clarity.

Where a change materially affects an active subscription, we will give reasonable notice before it takes effect.

If a material change disadvantages you, we will explain any right you have to cancel before the change applies.

The version applying when you placed your order will remain available in our records.

Terms used with consumers must remain fair and transparent, including terms concerning changes, cancellations and automatic renewals.

26. Transferring the subscription

You may not transfer your subscription to another person or organisation without our written agreement.

We may transfer our rights or responsibilities to another organisation as part of a business transfer or restructuring, provided this does not reduce your rights.

27. If part of these terms is unenforceable

If any part of these terms is found to be invalid or unenforceable, the remaining terms will continue to apply.

28. No waiver

If we do not immediately enforce a right under these terms, this does not mean we have given up that right.

29. Governing law and disputes

These terms are governed by the laws of England and Wales.

If you are purchasing wholly for business purposes, the courts of England and Wales will have exclusive jurisdiction unless we agree otherwise.

If you are a consumer, you may also have the right to bring proceedings in the part of the United Kingdom where you live.

Please contact us first if you have a concern. We will try to resolve the issue fairly and promptly.
